Submitting a booking request does not reserve a date. A booking is confirmed only after QLENS Media approves the date and project details, the client accepts the final quote and agreement, and the required 50% retainer is received.

The retainer is non-refundable because it reserves the agreed date and allows project planning to begin. The remaining balance is due on or before the day services are provided unless another payment schedule is stated in writing.

If the client cancels a confirmed booking, the retainer is not refunded. Payments received beyond the retainer will be refunded unless already used for approved, non-recoverable project expenses such as studio reservations, permits, travel, rentals, or special equipment.

One reschedule may be requested without an additional booking fee when at least 72 hours’ notice is provided. The new date is subject to availability. Less notice, repeated rescheduling, or failure to appear may require a new retainer. Genuine emergencies will be considered individually.

Outdoor sessions may be rescheduled when weather could affect safety, equipment, or the intended quality of the project.

Late arrival does not automatically extend a session. Arrivals more than 20 minutes late without communication may result in a shortened or canceled session, and a new retainer may be required to reschedule.

Clients are responsible for arriving ready with the agreed wardrobe, products, props, participants, and other necessary materials. Delays caused by missing or unprepared items may reduce shooting time. For groups, events, and business projects, the booking client is responsible for coordinating participants and providing an accurate schedule.

Website prices and estimator totals are starting estimates. Final pricing may change based on scope, location, travel, studio rental, permits, equipment, production requirements, deliverables, or additional editing. No additional charge will be added without first communicating it to the client.

Studio rental fees are not included unless stated in the final quote. Clients are responsible for studio fees, location fees, permits, and permissions unless QLENS Media agrees in writing to handle them. Travel beyond 25 miles is charged at $0.75 per mile, and any other travel expenses will be discussed before confirmation.

Clients should communicate important concepts, must-have shots, deliverables, and preferences before the session. QLENS Media will make reasonable efforts to follow the approved direction but cannot guarantee an exact recreation of another creator’s work.

QLENS Media selects the strongest images and footage based on professional judgment and the agreed direction. Duplicate images, test shots, missed-focus images, and unfinished material are not included. Finished work will reflect the QLENS Media editing style shown in the portfolio.

Delivery timelines: headshots and portraits are delivered within 14 calendar days; artist photography and content photos are delivered within 14 calendar days; event photography is delivered within 21 calendar days; reels and short-form videos receive a first version within 21 calendar days; and music videos receive a first version within 30 calendar days.

Rush delivery is available for an additional fee only when approved in advance.

Each package includes the number of professionally edited images listed in the package details or final quote. Additional edited images may be purchased when available.

Up to three reasonable revision rounds are included. Revision requests must be combined into a clear list and submitted within seven days of delivery. Revisions do not include reshoots, new concepts, major changes outside the approved direction, or extensive retouching; those requests may require an additional fee.

Raw or unedited files are not included unless specifically purchased and listed in the agreement. Online galleries and download links may expire 30 days after delivery, so clients are responsible for downloading and safely storing finished files before expiration.

QLENS Media retains copyright to the photographs and videos it creates unless a separate written copyright transfer is purchased. Clients receive permission to use finished work for the purposes listed in their agreement. Advertising, merchandise, publication, and other commercial usage must be included in the approved project terms.

QLENS Media may ask to feature completed work in its portfolio, website, social media, or promotional materials. Clients may request privacy before the session, especially for children, private events, unreleased music, confidential business materials, or sensitive projects. Work featuring minors will not be used for QLENS Media promotion without permission from a parent or legal guardian.

Clients are asked not to apply filters, heavy retouching, or edits that misrepresent the finished QLENS Media work.

If QLENS Media cannot perform because of illness, emergency, equipment failure, unsafe conditions, or another event outside reasonable control, the client may choose an available reschedule date or receive a refund of payments made for services that were not performed.

QLENS Media may stop or refuse service involving harassment, threats, illegal activity, unsafe conditions, damage to equipment, or abusive conduct. Payments may be non-refundable when a session is ended because of the conduct of the client or a participant.
